1. Who we are
Aarambh is an AI-assisted recruitment platform operated by Nivaara Consulting, a sole proprietorship registered in India ("Aarambh," "we," "us," "our"). Under the Digital Personal Data Protection Act, 2023 ("DPDP Act"), we act as the Data Fiduciary for the personal data processed through the platform.
Registered address: Pristine Place, Gajularamaram, Hyderabad 500055, Telangana, India
Contact: privacy@1aarambh.com
This policy explains what personal data we collect, why we process it, who we share it with, and the rights available to you under the DPDP Act.
2. Who this policy covers
This policy applies to two groups:
- Candidates who apply to roles through Aarambh.
- Employers and recruiters who use Aarambh to post roles and review applicants.
Where a section applies to only one group, we say so.
3. The personal data we collect
From candidates
- Identity and contact data: name, email address, phone number
- Application data: resume or CV, and the information it contains (education, work history, skills)
- Screening responses: answers to employer-defined questions, such as current compensation, years of experience, and stated skills
- Application activity: the roles you apply to and your application status
From employers and recruiters
- Account data: name, work email, organisation details
- Content you create: job postings, screening questions, and hiring-context information you provide
Collected automatically
Limited technical data needed to operate and secure the service, such as a request identifier recorded in our server logs.
We do not collect special categories of data, and we ask candidates not to include sensitive personal information in their resumes beyond what a role reasonably requires.
4. How we use personal data, and our legal basis
We process candidate personal data on the basis of consent, recorded at the point of application, for the following purposes:
- To make your application available to the employer for the role you applied to
- To run AI-assisted screening that produces a resume score and an advisory fit score, with a summary and rationale, for the employer's review
- To allow you to track your application status
- To enable the employer to contact you regarding your application
We process employer and recruiter data to provide, maintain, and secure the platform under the terms of service between us.
5. AI-assisted processing
Aarambh uses AI to read resumes, generate scores, and summarise applications. These outputs are advisory. Every decision to shortlist, reject, or contact a candidate is made by a person on the employer's team. No application is advanced or rejected by automated means alone. AI scores and rationale are used internally by the employer and are not shown to candidates.
6. Consent and withdrawal
Candidates provide consent when they apply. You may withdraw consent at any time from within the product, or by contacting privacy@1aarambh.com. Withdrawing consent will end further processing of your data for recruitment and will trigger erasure, subject to the limited retention described in Section 9. Withdrawal does not affect processing that already took place while consent was valid.
7. Who we share data with
We share candidate data with the employer for the role applied to. We also use a small number of subprocessors that process data on our behalf:
- Cloud hosting and storage provider (Mumbai region): stores data at rest in India
- AWS Bedrock: provides the AI models used for screening
- Email delivery provider: delivers transactional and recruiter-initiated email
We do not sell personal data, and we do not use personal data to train AI models. Our current subprocessor list is maintained on our Trust page and updated before any new provider is added.
8. Cross-border processing
Personal data is stored at rest in India, in the Mumbai region. Some processing (specifically AI screening) may occur outside India through the subprocessor named above. The DPDP Act permits such transfers, which are unrestricted except to jurisdictions the Central Government specifically designates. No such jurisdiction is designated at present.
9. How long we keep data
We retain candidate data for up to 12 months after your last application, after which it is erased or anonymised. A minimal audit record may be retained where required to demonstrate lawful processing.
10. How we protect data
We apply encryption of data at rest, malware scanning on every uploaded file, role-based access controls, and an audit trail of actions taken in the platform. No system is perfectly secure, but we maintain safeguards appropriate to the sensitivity of recruitment data.
11. Your rights under the DPDP Act
As a Data Principal, you have the right to:
- Access a summary of the personal data we process about you
- Correct or update inaccurate or incomplete data
- Request erasure of your data
- Nominate another individual to exercise your rights in the event of death or incapacity
- Raise a grievance about how your data is handled
To exercise any of these rights, contact our Grievance Officer below.
12. Grievance Officer
If you have a question, request, or complaint about your personal data, our Grievance Officer will respond.
Grievance Officer: Suraj Divakala
Email: privacy@1aarambh.com
If your concern is not resolved, you may escalate to the Data Protection Board of India in accordance with the DPDP Act.
13. Children
Aarambh is intended for adults. We do not knowingly process the data of anyone under 18. Applicants confirm they are 18 or older when applying.
15. Changes to this policy
We may update this policy as the product or the law evolves. Material changes will be reflected by the "Last updated" date above, and where appropriate we will notify users.
